Padel Power ("we", "our", "us") is committed to protecting your privacy and handling your personal information safely and responsibly. This policy explains what we collect, why, and your rights.
It applies to visitors and users of padelpower.uk, our class booking system, our forms, and anyone who contacts us online, by phone, by WhatsApp or in person.
1. Who we are
Padel Power is a trading name of Padel Power Northants Limited, company number 16445182, registered at Unit 1 Kingsfield Business Park, Gladstone Road, Northampton, NN5 7PP.

2. Information we collect
When you book a reformer Pilates class
- Your name, email address and mobile number
- Your booking details (class, date and time)
- Payment records from our payment provider (amount, date and payment reference; we never see or store your card number)
When you complete our health questionnaire
Before your first class we ask you to complete a short health questionnaire and waiver, including an emergency contact and information about injuries, medical conditions, pregnancy or anything else your instructor should know. This is health information, which the law treats as special category data, and we only collect it with your explicit agreement when you sign the questionnaire.
When you contact us
Your name, email address, phone number if you give it, and your message.
When you browse the site
If you accept analytics cookies, we use Google Analytics and Microsoft Clarity. Google Analytics collects information about how visitors use the site, such as pages visited and approximate location. Microsoft Clarity records how pages are used, such as clicks, scrolling and mouse movement, so we can see where the site is hard to use. We use this only to understand and improve the website, and neither loads unless you say yes.
If you accept, we also load Klaviyo's onsite script. It sets a cookie so that, if you have signed up for our text messages, we can tell which pages you looked at and show you the sign-up form at a sensible moment rather than on every visit. It does not load unless you say yes, and you can change your choice at any time using the "Cookie choices" link in the footer.
Court bookings, membership and leagues
Court bookings and memberships are handled by Playtomic, a separate service with its own privacy policy. We do not control the information you provide to Playtomic.
When you register for a league on this site, we take your name, email address, mobile number, Playtomic profile link and a card for the weekly fee (the card is held by Stripe). We share your name, email address, mobile number and Playtomic profile with Playtomic to add you to the league and to our club customer list.
When you sign up for text message offers
If you opt in to our text message service, we collect your mobile number, your first name if you give it, and a record of your consent (the date, time and the wording you agreed to). We also keep a record of the messages we send you, whether they were delivered, and whether you tapped any links in them.
Signing up is entirely optional and is never a condition of booking or buying anything. You can opt out at any time by replying STOP to any message. The full terms of the service, including how to opt out and how to get help, are in our Mobile Terms of Service.
3. How we use your information
- To manage your class bookings, including confirmation, reminder and cancellation messages sent by text to the mobile number you give us
- To take payment and process refunds
- To let your instructor prepare safely for your session, using the information in your health questionnaire
- To contact your emergency contact if something happens to you at the studio
- To answer your enquiries
- To keep proper business and accounting records
- To understand how the website is used and improve it
- To send you marketing offers, club news and event announcements by text message, but only if you have opted in to our text message service
We do not sell your information, and we do not use it for marketing unless you have separately agreed to that.
4. Our legal bases
- Performing our contract with you: bookings, payments, refunds, booking messages
- Your explicit consent: the health questionnaire and waiver
- Your consent: marketing text messages, and analytics and marketing cookies
- Legitimate interests: answering enquiries, running and improving the website, keeping the studio safe
- Legal obligation: financial and accounting records
5. How long we keep your data
- Booking records: up to 2 years after your last booking
- Health questionnaires and waivers: up to 3 years after your last class, in line with liability timeframes
- Enquiries: up to 12 months
- Payment and accounting records: 6 years, as required by law
- Text message marketing: your number and preferences until you opt out, or after 3 years with no bookings or engagement, whichever comes first. We keep the record of your consent and of your opt-out for 2 years afterwards, so we can show we handled your choice properly and do not text you again by mistake
6. Who else handles your information
We use a small number of suppliers who process information on our behalf, under contract and only on our instructions:
- Playtomic: court bookings, memberships and league administration
- Stripe: card payments and refunds
- Supabase: the database behind our booking and member accounts, hosted in the UK or EU
- ClickSend: service text messages, such as phone verification codes and password reset links
- Klaviyo: our marketing platform, which sends the text messages you have opted in to and records how you respond to them
- Google Analytics and Microsoft Clarity: website analytics, which load only if you accept analytics cookies
Some of these suppliers, including Klaviyo, Stripe and Google, are based outside the UK or store data outside the UK. Where information leaves the UK, it is protected by the safeguards UK data protection law requires, such as the UK International Data Transfer Addendum or an adequacy decision.
7. Your rights
You have the right to ask us for a copy of your information, to correct it, to delete it, to restrict or object to how we use it, and to withdraw any consent you have given at any time. Withdrawing consent will not affect anything done before you withdrew it.
For the health questionnaire, you may need to complete a new one before attending further classes. For marketing text messages, reply STOP to any message, or email us. For cookies, use the "Cookie choices" link in the footer.
To use any of these rights, email info@padelpower.uk. If you are unhappy with how we handle your information, you can complain to the Information Commissioner's Office at ico.org.uk.
8. Security
Your information is stored in secure, access-controlled systems. Health questionnaires can only be read by signed-in staff, and payment details are handled entirely by Stripe.
9. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page with the date at the top.
