Padel Power ("we", "our", "us") is committed to protecting your privacy and handling your personal information safely and responsibly. This policy explains what we collect, why, and your rights.
It applies to visitors and users of padelpower.uk, our class booking system, our forms, and anyone who contacts us online, by phone, by WhatsApp or in person.

2. Information we collect
When you book a reformer Pilates class
- Your name, email address and mobile number
- Your booking details (class, date and time)
- Payment records from our payment provider (amount, date and payment reference; we never see or store your card number)
When you complete our health questionnaire
Before your first class we ask you to complete a short health questionnaire and waiver, including an emergency contact and information about injuries, medical conditions, pregnancy or anything else your instructor should know. This is health information, which the law treats as special category data, and we only collect it with your explicit agreement when you sign the questionnaire.
When you contact us
Your name, email address, phone number if you give it, and your message.
When you browse the site
We use Google Analytics, which sets cookies and collects information about how visitors use the site, such as pages visited and approximate location. We use this only to understand and improve the website.
Court bookings, membership and leagues
These are handled by Playtomic, a separate service with its own privacy policy. We do not control the information you provide to Playtomic.
3. How we use your information
- To manage your class bookings, including confirmation, reminder and cancellation messages sent by text to the mobile number you give us
- To take payment and process refunds
- To let your instructor prepare safely for your session, using the information in your health questionnaire
- To contact your emergency contact if something happens to you at the studio
- To answer your enquiries
- To keep proper business and accounting records
- To understand how the website is used and improve it
We do not sell your information, and we do not use it for marketing unless you have separately agreed to that.
4. Our legal bases
- Performing our contract with you: bookings, payments, refunds, booking messages
- Your explicit consent: the health questionnaire and waiver
- Legitimate interests: answering enquiries, running and improving the website, keeping the studio safe
- Legal obligation: financial and accounting records
5. How long we keep your data
- Booking records: up to 2 years after your last booking
- Health questionnaires and waivers: up to 3 years after your last class, in line with liability timeframes
- Enquiries: up to 12 months
- Payment and accounting records: 6 years, as required by law
6. Your rights
You have the right to ask us for a copy of your information, to correct it, to delete it, to restrict or object to how we use it, and to withdraw consent for the health questionnaire at any time. Withdrawing consent will not affect anything done before you withdrew it, but you may need to complete a new questionnaire before attending further classes.

7. Security
Your information is stored in secure, access-controlled systems. Health questionnaires can only be read by signed-in staff, and payment details are handled entirely by Stripe.
8. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page with the date at the top.
